Position Summary:
As Loan Administrator, Reinvestment Fund is looking for someone who can keep our loan files organized and will participate in initiatives to implement a new document retention system. Responsibilities
Job Description:
Reinvestment Fund seeks a qualified individual to join our team as a Loan Administrator, specializing in document imaging and collateral maintenance. The administrator will provide exceptional support to the Lending & Investment Department for commercial and real estate loans.
Primary duties/functions for this position include:
Loan Document Imaging:
- Scan, index, and digitally archive all loan documents accurately and efficiently.
- Ensure the integrity and legibility of scanned documents.
- Maintain a well-organized electronic filing system for easy retrieval and review
Collateral Processing:
- Process collateral continuations/releases in a timely and accurate manner.
- Verify and update relevant information in the loan management system.
- Collaborate with internal departments to ensure compliance with documentation requirements.
Trailing Loan Document Tracking and Filing:
- Track and monitor outstanding loan closing documents, ensuring their timely submission and completion.
- File trailing loan documents accurately in the appropriate loan files.
- Maintain a comprehensive tracking system to monitor the status of trailing documents.
Loan File Data Population:
- Extract data from SmartSheets or similar platforms and populate relevant loan files.
- Cross-reference information to ensure accuracy and completeness.
- Collaborate with colleagues to resolve any discrepancies or missing data.
Paid-in-Full Loan File Upkeep and Document Retention:
- Maintain and update paid-in-full loan files, ensuring all necessary collateral is released
- Organize and archive loan documents according to established retention policies.
- Assist in periodic audits to ensure compliance with document retention guidelines.
Custodian of Loan Files:
- Safeguard the physical and digital loan files, ensuring their confidentiality and accessibility.
- Develop and maintain a systematic filing system for loan documents.
- Retrieve loan files upon request and provide necessary support during audits or examinations.

Education, Experience and Skills:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Required:
- High school diploma or equivalent; additional education or relevant certification is a plus.
- Previous experience in loan document management, mortgage processing, or a similar field is preferred.
- Proficient in using document management software and imaging equipment, (ie Synergy)
- Familiarity with loan management systems (Silverlake) and SmartSheets or similar platforms is advantageous.
- Strong attention to detail and excellent organizational skills.
- Ability to handle multiple tasks simultaneously and prioritize workload effectively.
- Good communication and interpersonal skills to collaborate with internal teams.
- Understanding of document retention and compliance regulations.
- Reliable and trustworthy with sensitive information
