Summary

The Human Resources Assistant will perform administrative duties related to the operations of the human resource office. Their duties include scheduling onboarding tasks, processing payroll updates and managing communications for the HR department.

Responsibilities

  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Assists with new hire orientation.
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Assists with day-to-day operations of the HR functions and duties.
  • Compiles and update employee records (hard and soft copies).
  • Assist in payroll preparation by providing relevant data (absences, bonus, leaves, timesheets, etc.).
  • Assists with outboarding, update HR database with new hires, Employee Changes and Terminations.
  • Writes memos, newsletters and emails for employees and vendors.
  • Answers and directs departmental phone calls.
  • Receives and distributes office mail.
  • Schedules and organizes appointments; takes minutes during departmental meetings.
  • Provides compliance support for LCCU Branch Model (MLOs, PTINS, reception, etc.).
  • Performs other related duties as assigned.

Requirements

  • High school diploma or equivalent required.
  • Two years of administrative assistant experience preferred.
  • Excellent communication and presentation skills, both written and oral, in English and Spanish.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office.
  • Proficient with or the ability to quickly learn payroll management, human resource information system (Paylocity), and similar computer applications.
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
