Summary

ABOUT THE DEPARTMENT:

The LISC Administrative Services department serves the following essential needs of LISC: office leases, corporate credit cards, travel & car rental, basic equipment purchasing (non-computer), telephone purchasing, maintenance and repair (non-computer related), furniture purchasing, and contract service agreement (UPS, Canon, 8×8, LDI, Staples). At the NY Headquarters, the Administrative Services department also fields requests to security badges, request for visitors, furniture requests, mail/messenger, and freight needs. The Administrative Services department works to ensure the successful approval and logistical follow through of contracted events at LISC.

Responsibilities

RESPONSIBILITIES

  • Develop and enhance processes/procedures to effectively manage daily operations at NY Headquarters
  • Administrator for the VoIP phone system company-wide
  • Back up Administrator for the company’s corporate card program
  • Review invoices accurately and track all payments against budget or lease
  • Document management – ensuring online folder structures remain clean and organized to help the team remain efficient in storing and accessing information
  • Write/edit service notices and maintain the department’s internal content management website
  • Delegating cleaning and maintenance tasks to building personnel and other outside vendors
  • Organize and manage the departmental electronic and paper filing systems
  • Conduct research resourcing new products and services
  • Back up point of contact for all building related matters
  • Facilitate new hire setup/in-house moves and relocations
  • Provide support and guidance to administrative in LISC’s field offices
  • Act as Security system backup administrator NY and Building Fire Safety liaison
  • Assist with other special projects and duties as assigned

 

Requirements

EXPERIENCE & QUALIFICATIONS:

  • Bachelor’s Degree from an accredited college or university preferred or relevant commensurate work experience
  • Minimum 3+ years’ work related experience in administrative, project management, or other related duties
  • Experience in facilities management
  • Superior interpersonal skills and the ability to work independently with minimal supervision as well as part of a team
  • Good problem-solving skills with a willingness to be flexible and proactive in a fast-paced work environment
  • Well-organized, detail-oriented, and able to prioritize and handle multiple tasks without comprising quality
  • Demonstrated ability to work professionally and productively with all staff levels and suppliers
  • Excellent computer skills including competency with Microsoft Office Suite, Experience with NetSuite, Certify, proprietary systems
  • Exceptional written and oral communication skills
  • Exceptional interpersonal skills, with a focus on listening and questioning skills.
  • Ability to quickly absorb and retain information
  • Ability to present ideas in user-friendly language to non-technical staff and end users
  • Keen attention to detail
  • Perform other duties as assigned

Compensation and Benefits

LISC offers a competitive salary (Salary range $73,610-$86,600; salary commensurate with experience and location) and excellent benefits
